| Race Secretary
- Per USSA
Alpine Competition Regulations Handbook 2000 2.2.2.3.7.
"The
race secretary is responsible for all secretarial work for
the technical aspects
of the competition and amongst others for the preparation of
the draw. He/she must ensure that the official results contain
the
information required by article 2.2.7.3.4. He/she is responsible
for the minutes of the technical officials, the Jury and team
captains' meetings. He/she must ensure that all forms for start,
finish, timing, calculations, and gate-judging are well prepared,
and handed over to the officials concerned in good order at
the
proper time. He/she receives official protests and gives them
out to those who are concerned. He/she must facilitate the
calculation
of results by appropriate preparation and ensure that they are
duplicated and published as quickly as possible after the completion
of the competition."
- Work
Prior to Race:
- Collect
all entry forms
- Enter data
onto running order verifying ages, classifications and appropriate
monies collected. Maintains list of questions if data/funds
are inaccurate
- Notify Chief
of Race and club president when under or oversubscribed
- Leaves a
message on voice mail if races are canceled due to snow conditions
- Responds
to inquiries left on voice mail, preferably within 48 hours
- Contacts
the Chief of Race to determine the TD, Referee, Start Referee,
Finish Referee, Chief of Course, Chief Gatekeeper and Chief
of Maintenance and places information on the Start (running
order) list.
- Night
Before Race:
- Complete
start order for the first run and double check age, sex and
class
- Double checks
race times in NHARA book and fill out appropriate information
- Contact
Chief of Race to review additional information on running order
form
- Prepare
coaches instructions seeking information from Chief of Race.
If we plan to accept late entries in the morning, indicate
on
coaches instructions that final running orders will be available
one hour prior to the starting time of the first run.
- Using the
appropriate colored paper, i.e. giant slalom, pink and slalom,
blue, make at least four copies of unofficial running order
- Day (morning)
of race:
- Arrives
at mountain at least one hour prior to registration. Reviews
running order with Chief of Race and TD
- Prior to
the beginning of registration, provides registration workers
with a list of questions to ask certain athletes regarding
ambiguity
of classification, sex or deficient funds. Insures that registration
workers have NHARA coach's sign up form, race worker sign up
forms and insurance liability forms required for workers who
will be on hill, waiver of liability form for those in process
of obtaining USSA card for Open Races and NHARA card for New
Hampshire only races
- Identifies
registration worker who will get starting order to finish building
30 minutes before the start
- Posts running
order at several locations near the registration table to allow
athletes to determine bib numbers prior to registering
- Determine
from Chief of Race if late entrieswill be accepted. If yes,
enter them on the running order in the appropriate categories
and prepare final running order copies prior to the end of
registration
period
- Provides
copies of this final running order to all race officials, registration
workers and coaches, usually 20 copies, at least 20 minutes
before registration opens
- Oversees
process of turning in unused lift tickets to the mountain prior
to the end of the first run and maintains a record of tickets
used. In conjunction with registration workers, closely monitors
distribution of these tickets to make sure we are not giving
them to athletes with passes or workers with passes
- Day of
Race, before second run:
- Before printing
the second run order, check tape that the timing crew generates
to verify the input is correct, seeking assistance from a the
head timer or Chief of Race
- Provides
copies of all race officials and coaches at least 30 minutes
prior to the beginning of the second run
- Day of
Race, post second run:
- Works with
Chief of Race or head timer to insure accuracy or results.
Reviews results with TD prior to awards ceremony to determine
any disqualifications
- Seeks TD's
signature on each page of the results if there are not any
protests and results is deemed accurate
- Within 48
hours of race completion, distributes final results to clubs
and USSA, NHARA etc.
- Submits
results to club secretary who will include them with next newsletter
and post on club website. In addition club secretary will distribute
results to those athletes who left envelopes and $1.00
- Checks with
registration head to verify and collect any outstanding administrative
details, i.e. how many lift tickets were returned, signed
waivers
for USSA applicants, worker and coach's sign up sheets, worker "on-hill" liability
forms etc.
- Reviews
days events with Chief of Race prior to leaving to determine
outstanding issues that require resolution
